ASOne and Zoom Setup

General Directions

To initiate a Zoom-connected recording session in AutoScriptOne:
1.      Join the Zoom meeting and claim host.
2.      Copy the invite link from within the Zoom meeting.
      NOTE: The link must include the password, which is the part highlighted in yellow in the following example:

3.      Start an AutoScriptOne recording session and select the Zoom button.
4.      Enter your session title and paste the Zoom meeting invitation link in the provided field.
5.      Approve the connection in Zoom when prompted—AutoScriptOne will then connect and begin recording.
6.      Complete your microphone check and ensure that text appears on screen.
7.      Pause the recording until you’re ready to begin the proceeding, then click Record to start. Speaker names will automatically appear when participants speak.

Additional Reminders:
1.      If two participants join using one computer, please manually add the second speaker and label their text accordingly, following the same procedure as for hybrid setups.
2.      Participants can join via the Zoom app on their phone without any issues.
3.      If a participant dials in via phone number (audio only), you will need to stop using Zoom and switch to Hybrid recording instead. Zoom handles phone audio differently, and the Hybrid method ensures accurate capture.

Zoom Account Settings

This is guidance regarding zoom settings to help ensure reporters can connect their court reporting software to Zoom meetings when they have claimed host privileges. The inconsistent connectivity for certain sessions is likely due to account-level restrictions set for the impacted admin zoom account. Below are the necessary steps to adjust your Zoom account settings accordingly:
NOTE:  A reporter using AS1 Zoom recording and a videographer can both “record local” during a zoom session.  This does require the host (Reporter or Videographer) to allow the AS1 Zoom “Reporter Backup” to join.

Step 1: Ensure the Host Has Permission to Grant Recording Access

  1. Sign in to the Zoom Admin account via Zoom.us.
  2. Click on Account Management > Account Settings.
  3. Select the Recording tab.
  4. Scroll down to Hosts can give meeting participants permission to record on their computer.
  5. Enable this option if it is turned off.
    1. If it is locked, only an admin with account privileges can enable it.
    2. If you are a regular user, ask your IT or Zoom admin to update this setting.

Step 2: Enable Local Recording for All Users

  1. Navigate to Admin Settings > Account Settings.
  2. Under Recording, find Local Recording and enable it.
  3. If it is disabled at the organization level, the Zoom admin must unlock it.

Step 3: Ensure the User’s Zoom Role Allows Recording

  1. In the Admin Zoom Portal, go to User Management > Roles.
  2. Select the user’s role (e.g., Employee, Manager).
  3. Under Recording Permissions, ensure:
    1. Local Recording is enabled.
    2. Allow host to grant recording permission to participants is enabled.
  4. Save changes and apply to all affected users.

Step 4: Check If Group-Level Settings Override Account Settings

  1. Navigate to User Management > Group Management.
  2. Select the user’s group.
  3. Go to Recording Settings.
  4. Ensure Local Recording is turned on for their group.
  5. If the group setting overrides account settings, the admin must update it.

Step 5: Verify Zoom Version & Policy Restrictions

  1. Ensure the affected users are using the latest version of Zoom.
    1. Users can check under Zoom Settings > Help > About Zoom.
    2. If outdated, update via the Zoom Download Center.
  2. If the company uses device management policies (MDM, Intune, etc.), confirm that recording settings are not restricted by organizational policies.

Please ensure these settings are updated to allow reporters to effectively connect AutoScriptOne with their Zoom meetings. Let us know if any additional configurations are needed.
