NOTE: You may be used to the old version of AutoScript Web where you were able to open your job in AutoScript Desktop from the Job List. That function has been moved and changed. Please read the Job Details Section below for more information.
Let's look at the Dashboard view again, and we'll talk about what these buttons mean to you day-to-day.
NOTE - The areas covered in orange need not apply to you as an individual user. The area circled in orange contains informational widgets that are geared towards agencies with multiple workers.
1. [+ Create New Job] - This button is available on almost every screen for your convenience. You will click this button to begin the process of uploading audio files to be processed by ASW's Automated Speech Recognition (ASR) service.
2. Job List - This is where you will see a list displaying the status of the jobs you've uploaded. It is also where you will go to open a job in AutoScript Desktop (ASD) to edit for the first time after the ASR process is complete.
3. Job Reports - A list of your jobs and details such as time used and editing completion.
4. Support - Click this button to visit our support site. There you can peruse the many self-help articles on ASW and ASD. Most importantly, you can click the "Request Help" link to create a help ticket for issues you can't figure out yourself. It is the fastest and best way to get in touch with VoiceScript Support specialists.
Now, let's examine these items in more detail. We'll start with creating a new job.
Creating and Editing Jobs - Individuals -- Creating a New Job
NOTE: Your job will be created in the workspace that you currently have selected on the left side of the page.
As mentioned previously, you start a new job by clicking the [+ Create New Job] button. You should see the job creation page. Let's examine its parts.
NOTE - The areas highlighted in orange do not apply for general uses of AutoScript. You can ignore them unless you know they apply to you.
1. Title - Enter the name of the job. This will display in the Job List and will be the default name you see when you edit the job in ASD.
2. Files - This is where you can drag and drop your audio files, or you can click the "here" link to open a file browser. NOTE: The length of your audio is displayed below the file list. If it does not match the expected length, please confirm you're using the correct files.
3. Notes - This is a good place for information you want to see without looking it up somewhere else. We'll see how this looks in a job when we look at the Job List later.
4. Calculate Price - Click this button to see the cost of running the job and submit it for processing.
NOTE - New users start with free credit on their account. If your Credit Balance is zero and you haven't submitted any jobs yet, click the Request Help link above to submit a ticket regarding this issue.
5. Save Draft - You may not be ready to submit but don't want to waste the time you spent waiting for your audio to upload. Just click this button to save the job in draft status until you're ready.
6. Cancel - This cancels any uploads in progress and removes any details you entered.
NOTE: If you file doesn't contain any audio or the file is corrupt, you will be warned. Please check your files before proceeding, and if you are sure your files are good, click the Request Help link above so one of our Support Team members can assist you.
If you upload more than one file, an option will appear to "Concatenate" or "Mixdown".
Concatenate - the files are combined sequentially, based on the order they were uploaded, from top to bottom. Simply drag and drop to rearrange the files in the correct order.
Mixdown - the files are combined in parallel. Select this option when each file is a separate recording of one of the participants.
In the image below, the files need to be concatenated, but they were uploaded out of order. I need to fix that or my transcript will be in 2-1-3 order. I grab the "01" file and drag it up above the "02" file. Now they will process in the correct order.
When you click [Calculate Price] you'll be prompted with the cost. If you agree then you'll click [Transcribe] to begin processing the job. NOTE: For agency operations personnel, depending on permissions your team has in an organization, you may NOT see the cost. |
|
After you click [Transcribe] you'll receive an email when your job starts processing and another email when it finishes. Then it's time to go look at the Job List.
Creating and Editing Jobs - Individuals -- The Job List
After you submit your job, and any time you click the [Job List] button on your dashboard, you will see the Job List. Let's examine its parts.
JOB TITLE - This is the title you entered when you created the job. We'll view what happens when you click it in a moment. You'll also see the Job ID and any tags under the title.
DUE - If you assigned a due date when you created the job it displays here. This is mostly used by organizations, but you may find it helpful to manage your workflow.
ASSIGNEE - As an individual, this field won't be of much use since you're doing all the work. This is mostly used by organizational accounts. You can ignore it.
CREATED and DURATION - These should be self-explanatory.
STATUS - After you submit your job, you will see the Processing status. This information doesn't auto-update, so you'll need to refresh the page if you're anxiously awaiting its completion. Or you could just wait until you receive the completion email. Once a job is done, the status will change to Ready for Editing. It can now be edited in AutoScript Desktop (ASD) or downloaded in various formats.
NOTE - If your job has an Error status, please contact Support immediately using the Request Help link above. There is most likely a problem with the audio file you submitted. Our specialists will help you deal with this problem. DO NOT try to submit the job again. You have already been charged for the length of the file and will be charged again. Most likely the job will error again. Let us fix that for you.
The Move icon
is used to move the job to another workspace. The Move icon and the [Claim Job] button are used by organizations and can be ignored if you're an individual user.
Now let's see what happens when we click on the Job Title link to view the Job Details.
Job Details
From your Job List, if you click the Job Title link in the list, you'll open the Job Details.
1. The Title of your job. If you need to change the Job Title, click the pencil shaped Edit icon (5), make your edits, and click the checkmark icon that appears. This is the same for all items with the Edit icon.
2. The Job ID. This field is so important. If you ever have a problem with a job, VoiceScript Support may need this code to troubleshoot your problem. You can copy that code from here and include it in your help request ticket along with the Job Title.
3. If you just need a copy of the basic ASR-generated transcript quickly, you can download it here in various formats. You'll also notice an on-page audio player to preview the version of your audio after it's been processed by us. You can also download that audio file using the
icon.
4. This is where the notes you entered at the job creation step will appear. This is for basic notes only. Any multi-line entries will be shortened to one big paragraph.
6. Click here to open the job in AutoScript Desktop. This button only displays until a version is uploaded. After that, you'll open the job from a version. (
Read Versions section for more detail)
7. The comments section is mostly for use by agencies to facilitate communication between workers. As an individual you're welcome to use it, but you can also just ignore it.
Now it's time for the best part. It's time to edit your job OR to download a document containing your rough transcript.
Creating and Editing Jobs - Individuals -- Edit or Download
Your job is ready. What now? Well, you can edit it in AutoScript Desktop (ASD) or you can download the job in one of three formats. Let's look at each of those options now.
On the right side of the Job List you'll see this two icon:
If you click the triple dots, you'll see more icons. |
|
The icon is the Download icon. Clicking the Download icon presents some options to download the rough transript that was produced for the job. NOTE - It is a known bug that the options go off the right side of the screen. They are, in order, Word Document (docx), Rich Text (rtf), and Plain Text (txt). Since these options are available in the job details it might be easier to access them from there. | |
The trash icon is the delete icon. Use with caution - once you delete your job it is gone.
The download options are nice, but to get the most out of the AutoScript platform, we always recommend using AutoScript Desktop (ASD) to edit your files. And that brings us back to the big blue [Start editing in AutoScript] button in the job details.
